Court Bookings

Set your space word, sales tax and card rule for free bookings

Choose what customers call your spaces, set your sales tax rates, and ask for a card when a booking is free — all in Settings → General.

Set three club-wide choices yourself: the word customers see for your spaces, your sales tax rates, and whether a free booking asks for a card. (About 5 minutes. You need the Club Settings permission.)

Before you begin

  • You have the Club Settings permission.
  • For sales tax, you know the rates your club must charge. OpenCourt does not decide your tax rates. Ask your accountant if you are not sure.

Choose what you call your spaces

Customers see this word on the schedule, in bookings, on TV screens and on your website schedule. A golf club can say Bay, a bowling center Lane.

  1. Go to Settings → General and find the What you call your spaces card.
  2. Click a common word — Court, Bay, Field, Lane, Room, Table, Simulator or Space — or type your own in Word. Type it in the singular.
  3. Check the four forms the app makes for you: Singular, Plural, Lowercase and Lowercase plural.
  4. If the plural is wrong, click Change the forms and type all four forms yourself. To go back, click Make the forms from the singular again.
  5. Check the Preview. It shows the word in real phrases, for example "Book a bay", "3 bays available", "Bay 4" and "All bays".
  6. Click Save space word.

A yellow note warns you when something looks wrong, for example a plural that is the same as the singular, or a lowercase form that does not match. You can still save.

If your club uses activities

Each activity can have its own word, for example Golf: bay. The card then lists each activity's word under Your activities use their own words.

  • Customers see the activity's word when they book that activity.
  • The club word shows where all activities appear together: the schedule grid, TV screens and your website schedule.

To change an activity's word, click Manage activities, or go to Settings → Activities.

Set your sales tax rates

Sales tax is added to what customers pay. You set one default rate, and you can give some kinds of sales their own rate.

  1. Go to Settings → General and find the Sales tax card.
  2. Enter your Default rate, as a percent. You can use up to three decimals, for example 8.875.
  3. Look at the categories. A category that shows same as default uses the default rate, also after you change the default later.
  4. To give a category its own rate, click Use a different rate next to it and enter the rate. To make it follow the default again, click Use default.
  5. Click Review and save. The Change sales tax? dialog lists each rate that changes, the old rate and the new one.
  6. Check the list and click Save rates.

The categories:

Products and packagesPOS, the store, packages and passes
Events and programsEvent and player fees, and day fees
[Space] bookingsBooking a space, and moving one. The name uses your space word, for example Bay bookings.

When a new rate applies

  • A change applies to new charges.
  • Paid orders keep the tax they were charged.
  • Memberships charge the new rate from their next renewal.
  • A product or an event with its own tax rate keeps that rate. See Adding products for a product's own rate.

Ask for a card when a booking is free

Turn this on to make customers save a card before a $0 booking is confirmed — for example to hold a spot and discourage no-shows. Nothing is charged when they book.

  1. Go to Settings → General and find the Checkout card.
  2. Turn on Ask for a card when a booking is free.
  3. Under Ask for, choose the types it applies to: [Space] bookings, Open play, Clinics, Tournaments, Leagues and Other events. The first one uses your space word.
  4. Optional: enter a Message title and a Message, for example why you ask for the card. Customer sees shows how it looks next to the card form.
  5. Click Save.

Good to know:

  • It applies to every customer. It does not change by rule set.
  • Customers who already have a saved card are not asked again.
  • The message shows only when the booking costs $0.

If something goes wrong

  • I don't see these cards in Settings → General. Your role does not have the Club Settings permission. Ask the owner of your club account to add it.
  • Customers still see the old word for one activity. That activity has its own word. Change it in Settings → Activities.
  • A product or an event did not change to the new tax rate. It has its own tax rate. Change the rate on that product or event.
  • A member's renewal charged the old tax rate. The renewal was before you saved the change. The next renewal uses the new rate.
  • A customer was not asked for a card. They already have a saved card, the booking was not free, or its type is not selected under Ask for.
